Both the Belgian Code of Companies and Associations and the Civil Code allow companies and associations to choose whether to hold their general meeting "in person", "remotely" or in "hybrid" mode, where some participants are physically present in the meeting room and others take part remotely.

In addition to these modes of participation, participants may, depending on the organisers’ choice, either send their voting instructions before the general meeting (advance voting) or cast their vote during the meeting.

Digital Meeting handles all of these scenarios.

Our meetings can host up to 200 active participants per meeting, meaning participants who must be able to be heard or seen by the others.

If you need to host more, we ask your participants about their intentions beforehand. Those who wish to be seen and heard are directed to a virtual meeting room where they can take an active part. Those who do not wish to join the debate are directed to a room where they can follow the video conference and vote, without being seen or heard.

In short: the number of participants is unlimited.

That is precisely the purpose of our platform. Whether a vote is cast in advance or during the meeting, it benefits from the guarantees offered by Digital Meeting.

Before the meeting, participants are invited to check their details and the number of votes they may cast. Before or during the meeting, they enter their vote and see for themselves that it has been recorded.

As soon as the organisers close the meeting, each participant sees a certificate of participation listing the agenda items, the decision taken by the meeting with the majority obtained, and their own vote. They are invited to sign it and, if they wish, save or print it.

To access the meeting, participants must receive an invitation email containing a secure link to their personal area. No email, no access to the meeting.

You can add further access conditions: an access code for the meeting, an access code per participant, or presentation of an identity card.

We are happy to host your general meetings, but also your board meetings, strategic committees, works councils or health and safety committees. Even your social committee.

In that case we recommend an annual subscription, which lets you hold all your meetings on our platform. A format has been designed specifically for board meetings, where participants are traditionally more active than members of a general meeting.

Our platform is available in English, French and Dutch. For each meeting you define a main language and secondary languages, then write your agenda in the selected languages. Your participants follow the meeting in their own language.
